We are currently looking for a Procurement Coordinator for our New York office. The Procurement Coordinator supports the Workplace Procurement team by managing the ServiceNow contract intake queue and coordinating the administrative workflow required to move requests from intake to execution. This role is accountable for ticket hygiene, intake completeness, routing, status truth, and documentation control across Procurement, Legal, Finance, and project teams. The role does not lead sourcing strategy or negotiations, but it is critical to maintaining speed, rigor, and transparency. This is a great opportunity to join our team!
Responsibilities:
ServiceNow Intake & Queue Management (Primary)
Own day-to-day management of the ServiceNow procurement/contract intake queue: triage new tickets, validate required fields, categorize, prioritize, and route to the appropriate owner.
Enforce intake standards by returning incomplete requests with clear, specific next steps (e.g., missing scope summary, vendor entity info, project/financial code, target dates, contract type).
Maintain accurate ticket updates: status, blockers, dependencies, required approvals, and due dates to ensure ServiceNow is the single source of truth.
Monitor aging tickets and escalate risks proactively (e.g., work starting before contract, missed target dates, missing approvals).
Provide weekly queue reporting to Procurement leadership and PMO (new vs. closed, aging, top recurring blockers).
Track procurement activities as they related to capital project delivery schedules and report weekly variances
Contract Administration Support (Secondary)
Generate and issue NDAs using approved templates, coordinate signature workflow and filing.
Coordinate contracts redline routing and version control between business owners and Legal (tracking only; does not negotiate terms).
Maintain repository hygiene for executed contracts and supporting artifacts (naming conventions, folder structure, metadata completion).
Track key contract milestones (execution dates, renewals/expirations as applicable) and support basic amendment coordination.
Vendor & System Coordination
Support vendor onboarding and record maintenance across systems as needed (e.g., vendor profiles, required documents), partnering with system administrators.
Maintain standard templates, intake forms, and quick-reference guides; identify process gaps and propose improvements to reduce rework.
Stakeholder Communication
Serve as first-line response for requesters: confirm receipt, clarify missing info, provide status updates, and coordinate next steps across teams.
Coordinate procurement-related meetings when required (kickoffs, intake reviews), capture actions, and follow up to closure.
Qualifications:
Required
25 years of experience in procurement coordination, contracts admin, legal ops, operations coordination, or project administration.
Hands-on experience working in a ticketing/workflow tool, ideally ServiceNow (intake, routing, status tracking, reporting).
Strong attention to detail and ability to manage high volume, fast-turn requests without losing control of documentation or status truth.
Strong written communication and comfort pushing back on incomplete requests professionally.
Proficiency in Microsoft Office (Excel, Word, Outlook); comfortable producing simple trackers and weekly rollups.
Preferred
Exposure to vendor contracting workflows (NDA, MSA, SOW, task orders, amendments).
Familiarity with AEC / real estate project environments and related vendor types (design, GC, cost management, specialty consultants).
Experience with procurement/vendor tools (Ivalua, Coupa, Ariba) or contract repositories (Box/SharePoint).

The salary range for this full-time role is $81,500.00-$108,700.01 per year. Ranges are determined based on the position, geography, client and industry experience and level, and represent a good faith effort to provide a fair and equitable salary. This range reflects base salary only, and not the total compensation package.
